What should a print proof sheet contain?

A print proof sheet should contain everything the customer needs to approve the job and nothing that confuses them: every printed surface at true proportion, the physical specification, the ink and color build, the finishing, the quantity, a version and date, and a sign-off block that records who approved it. If any of those are missing, the approval is weaker than it looks.

Why the contents of the proof sheet matter

A proof sheet is doing two jobs at once. First, it is a communication tool — it has to make the finished product understandable to someone who does not work in print. Second, it is a record — when a job goes wrong, the proof sheet is the document both sides read again. A sheet that only does the first job is a nice PDF. A sheet that does both is protection.

Artwork: every surface the customer will see

  • Front and back — always both, even when the back is a single line of legal text. Missing backs are a recurring source of reprints.
  • Every panel — for cartons, sleeves and folders: all outer panels, plus inner panels if they print.
  • All versions and variants — sizes, flavors, languages, serial ranges. If eight SKUs share a design, all eight belong on the proof.
  • True proportion — the artwork shown at correct aspect ratio, with a scale note if it is not reproduced at 100%.
  • Bleed and trim indicated — so the customer understands what will be cut away.
  • Dieline or keyline — shown in a distinct non-printing color, clearly labeled as such.
  • Assembled view — for anything three-dimensional, a view of the constructed product, not just the flat.

Specification: the physical facts

This is the block customers skim and later rely on. Keep it tabular and unambiguous.

Color and ink: what is actually being laid down

Name the color build explicitly rather than leaving it implied by the artwork. List process colors, every spot color by its Pantone reference and the coated or uncoated variant, and any special inks — metallic, fluorescent, opaque white, security or UV-reactive. If a brand color is being converted to process because the job does not carry a spot plate, say so on the proof. That single line prevents a large class of complaints.

Include the color disclaimer here too. Colors displayed on a screen or output on an office printer are representative only; they are not a calibrated color reference unless a contract proof has been supplied. Customers accept this readily when they read it before approving, and resent it when they hear it afterwards.

Finishing and embellishment

Finishing is where flat proofs are weakest, so be explicit about placement as well as presence.

  • Lamination or coating — gloss, matte, soft-touch, anti-scuff, and which sides.
  • Spot UV or spot gloss — with a clearly marked coverage area, not just a note.
  • Foil stamping — foil reference and color, and the exact stamped area.
  • Embossing or debossing — location, depth and whether it registers to printed artwork.
  • Die cutting, creasing, perforation — shown on the dieline layer.
  • Special construction — windows, gluing, magnets, ribbons, inserts, personalization fields.

Because these read poorly as flat swatch notes, this is exactly where an interactive 3D proof pays for itself — the customer sees where the foil sits and how it behaves rather than reading that it exists.

Job identity and version control

Every proof sheet needs a header block that identifies it beyond dispute: job number, customer name, job title, proof version, date issued, and who prepared it. Version numbers should increment on every reissue, never be reused, and appear on every page. Add the due date or press date if the approval is time-sensitive — customers respond faster to a deadline than to a request.

Production notes worth including

Include the customer-relevant ones: packing and delivery format, delivery address and date, tolerances that affect the finished result — a stated cutting tolerance, a color variation allowance, an over- or under-run percentage. Leave out anything purely internal: press assignment, imposition, plate counts, costing, ganging.

The sign-off block

The last element on the sheet is the one that turns it into a record. It should capture the approver's name and role, the company, the date and time, the exact proof version being approved, and a clear statement of what approval authorizes — typically that artwork, spelling, layout, specification and finishing have been checked and the job may proceed to production. Give the customer explicit options: approved, approved with the marked changes, or new proof required.

When this happens online, capture it automatically alongside the version the reviewer actually looked at. That removes the weakest link in a paper process, which is a signed sheet nobody can match to a specific file.

Common questions

How long should a proof sheet be?

As short as it can be while still covering artwork, specification, finishing and sign-off. One page per component is a good target; a folding carton might be one page for the flat with dieline and one page for the assembled view.

Should the dieline print on the proof?

Show it, but make it unmistakably non-printing — a distinct keyline color with a legend saying "dieline shown for position only, does not print". Customers regularly assume a visible line will appear on the finished product.

Does the customer need to see production notes?

They need to see the ones that affect the result they receive: substrate, coating, finishing, quantity, size. Internal press instructions, imposition and machine assignments belong on the job ticket, not on the customer-facing proof.

Do I need a signature, or is an email reply enough?

An email reply saying "approved" is usually workable, but it is weaker evidence because it does not tie the approval to a specific version. A sign-off box or approval action tied to the proof version is far stronger.

What is the single most-forgotten item?

The version number and date. Without it, a dispute becomes an argument about which PDF the customer was looking at.
